Speeding up the payment of your eTimesheets

Dear A24 Group Member

Unfortunately we've been experiencing a number of issues regarding electronic timesheet payments for bookings carried out at NHS Trusts that use eTimesheets.

Some NHS Trusts have elected to use this system as it allows them to closely control their agency usage and spend.
Ward managers have been instructed to only "Authorise" bookings where they can clearly see the agency worker completed the assignment that they were booked for.
 
In most cases delays in payment are on the Trust's side and result when ward managers do not have sufficient information to confirm your attendance and "Authorise" your timesheet for payment.
 
Payroll and your bookings consultant will always work with you and the relevant ward manager/s to resolve these issues speedily BUT in most cases the delays can be avoided if you follow the guidance below.
 
Feedback from these Trusts highlights that there are four main issues that delay their authorisation of your shifts:
 
- The Agency Worker did not sign the "Agency Book" on the ward to state their start time when they began their shift *** Please Note:  Some wards also require you to sign out also
 
- The Agency Worker is asked to change wards, due to a changing need at the Trust, and they do not sign the "Agency Book" on the original ward to state where they were moved to
 
- The Agency Worker is asked to change wards and they do not sign the "Agency Book" on the new ward to state the start time and the ward they were moved from
 
- The Agency Worker works a shift that has not been added to the online booking portal on the wards
 
 
Tips:

 
- Once you arrive for your shift, it is your responsibility to sign the "agency book". Always ask a member of staff to initial next to your name (this is normally done by the ward manager, ward sister or ward clerk to acknowledge that you have arrived for your shift).
 
- Politely insist that they sign the book at the time because as you know wards can be busy places and they may forget causing delays in your pay.
 
- Always note where you were asked to move to and from in the "agency book" books on both wards. This leaves a paper trail to help us get you paid quickly after the shift. This normally results in new booking reference numbers being generated of the Trust's booking system as each ward is treated as a separate shift when it comes to payments.
 
- When you have concluded your shift and ready to leave the ward politely ask the ward sister if they could "Authorise" your timesheet.
 
- In the event that you arrive on a ward and they say the shift you were booked for has been cancelled (this is rare but can happen for a number of reasons) and they then offer to keep you on to work or move you to a different ward to work then it is important they create a new booking for you on the system that can be later "Authorised" Please let your consultant know in this instance.
 
Note:

 
To allow us enough time to process payments for the Friday after the booking was carried out, for client s using the eTimesheets our payroll cut off for "Authorised" eTimesheets is Monday at 3pm.
In the event the trust authorises your timesheet after this time the timesheet will be processed in the following week's payroll run.

To ensure streamlining of payment we also urge candidates to inform us if they have been moved from one ward to another at the client. This way we can update our systems to reflect the correct booking for each candidate and timesheet.
 
By following the above guidance you will help us get you paid as quickly as possible.  However, if you do experience issues with payments for bookings carried out at eTimesheet clients. Please call your consultant to see if the ward has "authorised" your shift.

 For example: If you are working for the whole of the week previous, please send in your timesheets as you complete shifts rather than try to send them all on the Monday morning following that week's work. Due to the tight timescales Payroll will be processing timesheets as soon as they come in to ensure we can pay you promptly on Thursday 02 April 2015 for the work you have completed the previous week.
 
This should also simplify matters for you before we go into the new Tax Year (2015/2016, weekending 05/04/15).

Guidance for staff intending to travel to, or returning from, Ebola affected countries

The on-going outbreak of Ebola in West Africa, primarily affecting Guinea, Liberia and Sierra Leone has been declared a Public Health Emergency of International Concern by the World Health Organization. This is the largest outbreak of this disease to ever happen. 

Ebola is a severe and life threatening viral disease caused by the Ebola virus. The onset of illness is sudden, with fever, headache, joint and muscle pain, sore throat and intense weakness. This is then followed by diarrhea, vomiting, rash, impaired kidney and liver function and stomach pain. Some patients may develop a rash, red eyes, hiccups, internal and external bleeding.

Ebola hemorrhagic fever is fatal in between 50 to 90% of all clinically ill cases. Ebola is spread through direct contact with blood and body fluids from infected people. The incubation period ranges from 2 to 21 days. Anyone who has close contact with a person infected with the virus, or someone who handles samples from patients are at risk. This includes hospital staff, family members and laboratory workers, all of whom are at risk if they do not use appropriate protective equipment / barrier nursing techniques. These precautions include wearing protective gowns, gloves, and masks, in addition to wearing eye protection (e.g. eye goggles) or a face shield.

The government advises against all but essential travel to Liberia, Sierra Leone and Guinea except for those involved in the direct response to the Ebola outbreak. It remains unlikely but not impossible that travellers infected in one of the affected countries could arrive in the UK while incubating the disease and develop symptoms after their return. Although the likelihood of imported cases is very low, travellers returning to the UK from the affected areas, particularly those who have been involved in health care overseas, need to remain vigilant.

For staff who are planning to visit Ebola affected countries:

The agency requests that staff follow FCO advice and do not place themselves at risk of infection. The agency recognises that some staff may have family in one of the affected countries but it does not consider essential travel to include, for example, visiting family at Christmas. If staff choose not to follow the FCO advice and travel to one of the affected countries, this may then result in work restrictions and / or exclusion upon return as noted in the scenarios below.

All staff who travel to one of the Ebola affected countries (Guinea, Liberia and Sierra Leone) irrespective of the reason for travel (personal or work related) must contact the agency prior to leaving the UK and on return to the UK, prior to their return to work.


Existing staff who have visited Ebola affected countries - this will mainly apply to those who have visited affected countries for the purpose of charity and/or healthcare work.

If no healthcare work was undertaken whilst in one of the Ebola affected countries, and staff had no direct contact with a known or suspected Ebola, including attending a funeral, staff should:

  • Inform the agency prior to departure
  • Monitor their health / temperature for 21 days from leaving the affected country
  • If the staff member becomes unwell with symptoms such as fever, chills, muscle aches, headache, nausea, vomiting, diarrhea, sore throat or rash within 21 days of coming back from Guinea, Liberia or Sierra Leone, they should stay at home and immediately telephone 111 or 999 and explain that they have recently visited West Africa. These services will initiate the appropriate care pathway
  • They must keep in touch with the agency prior to return to work
  • Staff member will be able to return to work after 21 days


If healthcare work was undertaken abroad or the staff member had direct contact with an Ebola case e.g. routine medical / nursing care but wore appropriate protective clothing with no known breaches in the personal protective equipment (PPE), the staff member should:

  • Inform the agency prior to departure
  • Check temperature twice daily for 21 days after return and report any raised temperature or other suspicious symptoms to the monitoring team at Public Health England (PHE)
  • Must provide Occupational Health with documentary evidence from their Voluntary Aid agency / affiliated health care institution who organised the overseas placement outlining the extent of their exposure and specific detail regarding the PPE used
  • Contact the agency prior to return to work
  • Staff member will be able to return to work after 21 days and monitoring completed


If healthcare work was undertaken abroad or the staff member had direct contact with an Ebola case and may have had unprotected exposure of skin or mucous membranes to potentially infectious blood or body fluids, including on clothing or bedding, for example:


  • Unprotected handling of clinical/lab specimens
  • Mucosal exposure to splashes
  • Needlestick injury
  • Kissing and / or sexual contact
 
 
 
 
 
 
The staff member should:

  • Inform the agency prior to departure
  • Check temperature twice daily for 21 days after return and REPORT DAILY to the
  • Monitoring Team at Public Health England (PHE) even if the temperature is normal and the staff member is not experiencing any suspicious symptoms
  • Staff member will be able to return to work after 21 days and monitoring is completed.

How to find the Best Nursing Agency Jobs

Nursing agency jobs and HCA temporary posts are more in demand than ever before, following public sector cutbacks. This is particularly the case for qualified staff who want to work at the times and locations of their choice - says NSUK.

In 2013 work with a reputable nursing agency that offers great opportunities for those nurses who want extra shifts and pay or choose to balance their work-life commitments because they have family dependents for example.

The NSUK - Nursing Services of the UK - offers the following advice for getting the most from nursing agency work and work providers:-

  1. Register with several nursing agencies in one group: to increase the opportunities for work, qualified staff can register through the NSUK web site, just once, to work for eligibility for five different agencies in the A24 Group- visit Nursing Services of the UK

  2. At registration, ensure you provide all the information that is required: NSUK provides a detailed list of documents to supply. The agency meets with all candidates locally to help them complete the registration process. Initial registration may be started on-line through the NSUK web site. Documents required include a completed DBS (formerly known as CRB), as well as a detailed NSUK application form; and job references.

Agency Workers Alert: Time for Free NHS Flu Jab

Nursing Services UK is encouraging all UK healthcare workers to have the free NHS Flu jab for which all healthcare workers are eligible.

Frontline nurses, HCAs and other agency workers should protect themselves by having the flu vaccine to prevent the spread of flu to colleagues and other members of the community.

The 2012/13 UK vaccine protects against three types of flu virus, according to the NHS Cumbria Partnership. This year's flu jab protects against:

*H1N1 - the strain of flu that caused the swine flu pandemic in 2009
*H3N2 - a strain of flu that can infect birds and mammals and was active in 2011 
*A strain of flu that was active in 2010 known as B/Wisconsin/1

Britons are the 'most unhygienic nation', according to a new report. Britons were half as likely as other nationals to cover their hands and mouth more frequently when coughing or sneezing during the swine flu pandemic, the study has suggested.

The findings were published in the journal 'Lancet Infectious Diseases'. Dr Gillian Steel Fisher of the Harvard School of Public Health in Boston, in America, said: "The wide variations between countries in our study shows that in the event of another serious outbreak of infectious disease, public perceptions have to be taken into account to best tailor and communicate policy approaches that need public support in each country.

"Our findings suggest that promoting non-pharmaceutical interventions - such as handwashing and avoiding large public gatherings of people - do not jeopardise the adoption of vaccination, though the uptake of vaccines was low compared to other behaviours in all countries we surveyed.

"To maximise the effect of pandemic policies, future efforts might need to combine vaccination programmes with support for the most effective non-pharmaceutical interventions."

UK Payroll Department Opening Times: Effective Monday 6th August

Candidates are advised that - to meet the agency's deadline for ensuring agency workers are paid each Friday on time - the agency is making some small changes to opening hours for candidate calls.

The payroll department will be open for phone calls between 9am and 5pm on Mondays, Tuesdays and Thursdays and between 9am and 4pm on Fridays. Candidates can continue to send time sheets via the usual channels - post to:

Notice to All UK Agency Workers: June Bank holiday deadline

Due to the June Bank holiday dates of Monday 4th and Tuesday 5th June 2012, please ensure that timesheets are with us by no later than midday, Friday 1st June 2012 to guarantee payment on Friday 8th June 2012.

Please note: the Payroll office will also be closed on Monday 4th and Tuesday 5th June - therefore please be aware that call volumes will be abnormally high following this break. We will there not have the facility to check if timesheets have been received on the Wednesday during office hours as we will be focusing on getting our Agency Workers paid for those timesheets received by the Friday deadline.

Important: there are some clients that will not recognise nor pay Bank holiday rates for the Diamon Jubilee - additional Holiday on Tuesday 5th June 2012. To save disappointment we would strongly advise that you ask your consultant as to whether or not you will be paid Bank Holiday rates for this day.

NSUK is reminding nurses and HCAs to ensure that their personal on-line files with the agency are kept up to date. If candidates are working regular shifts for NSUK within the NHS, they must be fully compliant to NHS standards at all times. When relevant documentation is due to expire - such as training certificates, CRB or Occupational Health yearly review, all of which expire annually - it is imperative to update the training and/ or renew relevant documentation before it expires, the agency says.

If candidates wait until certification has expired, all forthcoming shifts are automatically cancelled, and staff are then unable to be booked for shifts until the updated documentation is in place.

CRB Web Renewal in Nine Days with NSUK for UK Registered Nurses

Agency nurses can now apply for CRB Criminal records Bureau checks on the internet with the NSUK - Nursing Services of the UK - following the release of the latest application update of the agency’s web-based system, A24 Connect.

This new advance in CRB renewal will speed up dramatically the turnaround of Criminal Records checks, the agency says, to ensure that all its registered medical staff remain compliant and are able to work at all times. NSUK, a division of the A24 Group, estimates that renewals will take from just nine days, where there are no previous convictions or cautions present on the applicant’s record.

The requirement by the NHS is that all agency workers must hold an enhanced CRB disclosure that is less than 12 months old. With current delays within the CRB system, says the agency, this has meant that some candidates currently have to re-apply four months before expiration.

Agency workers registered with NSUK, can apply by logging onto www.a24connect.co.uk , the unique web portal that enables medical staff to access work information and interact with the agency online 24 hours a day. Web visitors are prompted if their CRB certification is due for renewal and can then complete an on-line application form.

Agency staff simply log onto www.a24connect.co.uk and follow the prompts to complete the online CRB application form. An electronic payment is then required for the CRB fee, currently £46.20. The agency countersigns the document once it is received and the application is automatically sent to the CRB. Candidates can log into A24 Connect to track progress at any time.

NSUK, advises that with the introduction of the web-based service, applications on CRB printed forms cannot be accepted by the agency, and all submissions and payments must be on-line.

How to be a Health Care Assistant (HCA): Ten Tips

Nursing Services of the UK (NSUK) is recruiting healthcare assistants (HCAs) for temporary UK agency work. So what experience is required to be an HCA – and how much of a help are NVQ qualifications in gaining employment?

There is still demand in many parts of the UK for HCAs in a range of healthcare settings - including hospitals, care homes and for domiciliary homecare. The advantage of agency work is that HCAs can often earn extra pay, working when and where they want, to meet family and other commitments. Rates of pay at the NSUK nursing agency range up to £21.60 per hour for senior care support workers with an NVQ3. Registration is through the web site at Nursing Services of the UK.

The role of the healthcare assistant is varied and can include working alongside nurses as a nursing auxiliary, or without direct supervision, in a care home or domestic setting.

The types of duties can include: washing and dressing patients; feeding; helping people to mobilise; toileting; bed making; generally assisting with patients overall comfort; monitoring patients conditions by taking temperatures, pulse, respiration's and weight. Nursing healthcare assistants usually work a 37.5-hour week on a shift or rota system, often including nights and weekends.

NSUK offers these top tips on working as an HCA:-

  1. Work experience required: if you are unqualified, to register with a reputable nursing agency requires at least six months’ UK care experience, with two good clinical job references that show that you are able to perform as a care assistant to the required level. Many candidates apply in the first instance to work in a nursing home or hospital setting under supervision. This offers immediate employment and also the opportunity to get the training and experience required by agencies.

  2. Gain an NVQ: Hospitals, care homes and other clients of the NSUK agency now often require candidates to have NVQ qualifications, often at Level 2 or above. Further Education colleges run NVQ training in social care. If you contact your local FE college it will be able to advise on the best route to obtain the relevant qualification. After completing a course (lasting several months), you can supply tutors’ job references to support your job application to the agency.

  3. Enrol for extra training: in addition to the NVQ, you can improve your skills - and the range and pay of the work for which you can apply – with short courses such as in phlebotomy (venipuncture and cannulation), to qualify for drawing blood samples.

  4. Consider agency work: once you have gained the relevant experience, then at Nursing Services of the UK you can earn extra pay and work flexibly, usually at hours that suit you. The agency employs staff within different staff ‘bands’ – such as care support, senior care and NVQ3 qualified staff bands. Pay relates to the band and also the time of the day or week when you work – night work has higher pay rates than daytime, and weekend shifts attract good rates too.

  5. Register with several agencies, just once: by registering with NSUK, you will be eligible to work with a number of other agencies in the same group, if you choose, to increase your work opportunities. However, it’s important to note that you must meet and maintain the required compliance standards, and that a good level of spoken and written English is essential, to help ensure safety standards are maintained at all times.

  6. At registration, supply all the information required: NSUK provides a detailed list of documents you will need to present for registration. To help you through the process, the agency meets with all candidates locally and will review and copy the documents needed. Initial registration should always be started on-line through the NSUK web site. Documents required include: a completed CRB; a detailed NSUK application form; and job references.

  7. Keep your registrations current: once you have registered with the nursing agency, ensure that your annual certifications are up to date – whether for training, CRB or other requirements.

  8. Let the agency know when you are free to work: NSUK’s on-line web diary enables HCAs to confirm when they are available. It’s worth updating the diary at least once a week. Be flexible: if NSUK knows that you will accept work at short notice - or will work some evenings, weekends or Bank Holidays - you will get more, higher-paying shifts.

  9. Stay in touch: find out which NSUK consultants deal with the area where you want to work. E-mail details of the names of the towns and hospitals. NSUK’s consultants are there to help, and when they get to know you and the type of work you want, it will increase work opportunities. It’s worth registering for NSUK’s Facebook and Twitter pages so that you are up to date on agency news and job opportunities.

  10. Consider your career: are you looking for specific types of work or experience? If you are, do discuss this with your NSUK consultant, as the agency may be able to help, if you meet the standards required by clients for relevant shifts.
